Set up Meta Ads Manager without losing control of your account

A practical first-time setup guide for founders connecting their business, advertising assets, access, payment and campaign workflow in Meta Ads Manager.

Start with the business that owns the work

Treat Ads Manager as the place where you operate campaigns, not as a substitute for organising who owns the underlying business assets. Sign in using a real, individually controlled Facebook account, then open Meta Business Suite and establish or select the business portfolio for your company. Use the business name customers recognise and a business email address that will remain accessible if a founder changes role.

Meta describes three levels in Ads Manager: campaigns, ad sets and ads. A campaign holds the objective; ad sets organise delivery choices such as audience, placement, schedule and budget; ads contain the creative and destination. This hierarchy is documented in Meta's advertising-levels guide. As documented in September 2026, labels and screens can change, so look for the equivalent business, account and campaign controls rather than relying on a screenshot.

  • Create or claim the Facebook Page and Instagram account the brand will advertise from; check the spelling, profile image, contact details and destination links.
  • Create or select one ad account for the business. Confirm its time zone and currency before activity begins: reporting periods and billing are easier to reconcile when these reflect the business's intended accounting setup.
  • Connect the Page, Instagram account and ad account to the correct business portfolio, then verify that the intended business owns or has access to each asset.

Give access deliberately and secure the account

Use individual staff or partner access instead of sharing a founder's password. Give each person only the permissions needed for their work, and review access when a freelancer finishes. Meta's settings documentation groups ad-account administration and payment settings under the account controls; where your interface differs, use Business Settings or the current equivalent to review people, partners and assigned assets.

Turn on two-factor authentication for every person who can access business assets, keep recovery details current and store account ownership information in your normal secure records. Keep at least two trusted business administrators where practical, but do not make everyone an administrator merely for convenience. A team member who only prepares drafts may not need billing permissions.

  • Record the portfolio ID, ad account ID, Page, Instagram account and who is responsible for each.
  • Check that payment methods and billing contact details belong to the business, and understand who can add or remove them.
  • Before launch, open Account Quality or the equivalent support area to look for restrictions, verification requests or payment issues.

Set up a campaign workflow you can audit

In Ads Manager, begin a new campaign and confirm the objective before moving down the hierarchy. Create an ad set with a clearly stated audience hypothesis, destination, schedule and budget. Build an ad with a named creative, accurate copy, a working link and the correct Page or Instagram identity. Meta's own campaign-creation guidance follows this campaign-to-ad-set-to-ad flow and includes the objective, buying type and any applicable special ad category; follow the current prompts rather than assuming every account sees identical options.

Use names that make decisions legible later, for example: `UK | prospecting | product demo | Sep test`. Do not put personal customer information in campaign names or URL parameters. Preview every placement you plan to use, check mobile landing-page behaviour, and ensure the product, price, shipping terms and claims in the ad match the destination.

They create one Sales campaign, one prospecting ad set and two distinct ads. A short naming convention makes the setup understandable when another team member reviews it later.

Publish only after the account, payment method, identity, destination, tracking and budget have been checked together. Save the campaign ID and launch date in the team's records. Review delivery and spend after launch, but avoid changing several settings at once: when results move, you want to know which decision changed.
